This Personal Data Protection and Privacy Notice has been prepared in accordance with the Law No. 6698 on the Protection of Personal Data (“KVKK”) and the relevant legislation regarding the processing of personal data within the scope of hotel reservation, accommodation, communication, payment and related service processes offered through the awenhotel.com website.

Within the scope of the services provided by AWEN HOTEL, your identity information, contact information, reservation information, payment and financial information, accommodation and service information, transaction security information and, where necessary, visual and audio records may be processed.

Such data may include your name, surname, Turkish ID number, passport information, nationality, phone number, e-mail address, address information, room type, check-in and check-out dates, number of guests, length of stay, reservation number, special requests, age information of child guests, payment method, transaction amount, invoice information, request and complaint records, IP address, website usage records, cookie records, device and browser information.

For the purpose of ensuring hotel security, security camera recordings may be processed in common areas where cameras are installed. If voluntarily shared by the Guest, information regarding health status, allergy information, accessibility requests or special service needs may also be processed only for the purpose of fulfilling the relevant request and provided that the necessary legal conditions set out under KVKK are met.

2. PURPOSES OF PROCESSING PERSONAL DATA

Your personal data may be processed for the purposes of creating, managing and tracking hotel reservations, providing accommodation services, carrying out guest check-in and check-out procedures, and conducting payment, collection, invoicing and accounting processes.

Your personal data may also be processed for evaluating guest requests, suggestions and complaints, carrying out communication processes, sending reservation confirmations, cancellation, change and information messages, ensuring hotel security, fulfilling legal obligations and responding to requests from authorized public institutions.

Age information relating to child guests may be processed for the purposes of determining reservation conditions, evaluating free accommodation or additional fee practices, and properly planning room capacity and accommodation arrangements.

In addition, your personal data may be used for improving service quality, measuring guest satisfaction, ensuring that the website operates securely and in a user-friendly manner, improving the website experience within the scope of cookie preferences, and preventing, following up and resolving legal disputes.

3. METHODS OF COLLECTING PERSONAL DATA

Your personal data may be collected verbally, in writing or electronically through the awenhotel.com website, online reservation forms, contact forms, phone calls, e-mail correspondence, hotel reception, accommodation records, payment systems, virtual POS infrastructures, authorized reservation channels, social media and digital communication channels.

Special categories of personal data may only be processed if the conditions set out under KVKK are met and, where necessary, your explicit consent is obtained.

5. TRANSFER OF PERSONAL DATA

Your personal data may be shared with third parties, provided that it is necessary and proportionate, within the scope of the purposes stated above and the relevant legislation.

Within this scope, your personal data may be shared with authorized public institutions and organizations, judicial and administrative authorities, banks, payment institutions, accounting, financial advisory and audit service providers, legal advisors, technical infrastructure, software, server, security and information technology service providers, reservation and hotel management system providers, business partners and suppliers from whom services are received.

Your personal data is transferred only for purposes such as providing the service, fulfilling legal obligations, carrying out payment processes, ensuring technical infrastructure and managing legal processes.

In cases where your personal data needs to be transferred abroad, the conditions stipulated under KVKK and the relevant legislation shall be complied with. If the retention period expires or the purpose of processing no longer exists, your personal data is deleted, destroyed or anonymized in accordance with the relevant legislation.

In addition, within the framework of the conditions set out under KVKK, you may request the deletion or destruction of your personal data, request that correction, deletion or destruction procedures be notified to third parties to whom your personal data has been transferred, object to the occurrence of a result against you through the analysis of processed data exclusively by automated systems, and request compensation if you suffer damage due to unlawful processing of your personal data.

Your applications will be evaluated and concluded as soon as possible and within the periods stipulated in the relevant legislation, depending on the nature of the request.

12. UPDATE

AWEN HOTEL may update this Personal Data Protection and Privacy Notice in line with legislative changes, service processes or changes in data processing activities.
